Poland Police Clearance Certificate from Abroad
Previously lived, worked or studied in Poland and now need a Polish police clearance certificate in another European country? Burman Robinson can obtain your certificate from Poland's National Criminal Register (KRK) through a representative, so you can arrange the process without travelling back to Poland.
We can also arrange an apostille, translation and international delivery on request. Your quote will specify the services included. Our usual service timeframe is 2-14 days, plus delivery to your country, subject to the checks and document requirements explained below.

What is a Polish police clearance certificate
A Polish police clearance certificate is official information about a person held in the Krajowy Rejestr Karny, Poland's National Criminal Register. It is commonly called a zaświadczenie o niekaralności, a Polish criminal record certificate or a Poland PCC. It is issued through KRK, rather than a local police station.
The document reports the information held in the register. An application does not guarantee a certificate showing no criminal record. Foreign nationals can obtain a certificate, including people who have already left Poland. See KRK guidance for foreign nationals.
When you may need a certificate after leaving Poland
A new employer or public authority may ask about your previous residence in Poland even if you now live elsewhere. The relevant procedure determines whether a Polish certificate is needed, how recent it must be and which form of translation or authentication is accepted.
The following are examples of procedures in Europe that can make a Polish certificate relevant. They are not requirements for every resident of each country.
| Country and procedure | When previous residence in Poland can matter |
|---|---|
| Spain Arraigo social | The document checklist requests criminal record certificates from countries of residence during the five years before entry into Spain. Spanish Ministry guidance |
| Portugal Nationality application based on residence | The checklist includes foreign criminal record certificates from countries where the applicant lived from age 16, as well as countries of birth and nationality. Portuguese Justice guidance |
| France Naturalisation by decree | Applicants living in France for less than ten years are generally asked for an original foreign criminal record extract from countries where they lived. Exceptions apply, including protection-related exceptions. French public service guidance |
| Ireland Relevant HSE employment | HSE requires overseas police clearance for countries outside the Republic of Ireland and Northern Ireland where the applicant had an address for six months or more since turning 16. HSE recruitment guidance |
| United Kingdom Certain Skilled Worker entry clearance applications | For covered occupations, certificates are required from countries outside the UK where the applicant spent at least 12 months in total during the preceding ten years, while aged 18 or over. UK Home Office guidance |
| Czechia Certain residence procedures | Applicants may also be asked for a certificate from another country where they lived for a total of six months during the preceding three years. Czech Ministry of the Interior guidance |
If your country or procedure is not listed, send us the request you received. We can assess the Polish document needed for your situation.
How to get your Polish certificate through Burman Robinson

- Share the requirements. Tell us where the document will be submitted and send the relevant checklist or request, if available.
- Confirm the scope and quote. Choose certificate collection alone or a package including the required apostille, translation and delivery.
- Provide the details and signed documents. We explain the application and power of attorney requirements, including which originals need to reach Poland.
- We arrange the Polish procedure. Your representative submits the application and collects the document. Any agreed authentication and translation follow.
- Receive your documents. If delivery is included in your order, the documents are sent to your agreed address abroad.
You do not need to travel to Poland for a standard application through a representative. However, remote assistance can still involve sending signed paper documents. KRK's published rules require an original, handwritten power of attorney for the standard paper procedure. See KRK power of attorney requirements.
What information and documents to prepare
To assess your order, start with your citizenship, destination country, the purpose of the certificate and any deadline. For the application, we will then confirm the identification details and documents required for your case.
These normally include your full name and previous names, date and place of birth, parents' details, citizenship, address and PESEL if one has been assigned. We will also explain the identification evidence, application form and signed authorisation needed. Have your former Polish details available if your name or identity document has changed since you left.
Apostille and translation for use in Europe
An apostille is not automatically required for every European destination. The correct approach depends on your citizenship, the receiving authority, the procedure and any applicable exemption. Share the actual requirements before ordering authentication.
For criminal record documents, the exemption under EU Regulation 2016/1191 specifically concerns documents issued for an EU citizen by that person's country of nationality. A Polish certificate issued to a foreign national should therefore not automatically be treated as exempt under that provision merely because it will be used in another EU country. Other exemptions may apply. See Article 2(1)(m) of the Regulation.
If an apostille is needed, we can arrange it as part of your order and coordinate the translation of the certificate and apostille where required.
KRK issues its certificates in Polish. We can arrange a translation on request, using the language and certification format required by the receiving institution. The multilingual standard form attached to some KRK certificates is available only to Polish citizens and is a translation aid. It is not a universal substitute for translation for foreign applicants. See KRK multilingual form guidance.
Preparing your certificate for use abroad
Your document package should match the requirements of the organisation receiving it. We can arrange the original paper certificate and any agreed apostille, translation and delivery. Send us the institution's checklist or request so we can confirm the appropriate package before you order.
Processing time and delivery
Our usual service timeframe is 2-14 days, plus delivery to your country. We confirm the estimated schedule for the services you select. Allow time for any required signed originals to reach Poland before the application can proceed.
This is an estimate for our standard service, rather than a guaranteed government deadline. Additional checks or requirements can extend it. In particular, applications by citizens of another EU country involve an enquiry to the country of citizenship; KRK states that the foreign register has up to 20 working days to respond. See KRK guidance for EU nationals.
If you have an appointment or employment start date, tell us before ordering. The schedule should allow for document preparation, any apostille and translation, and delivery.
How much the service costs
We provide a personalised quote based on the documents and destination. It can include obtaining the KRK certificate, the required official fees, an apostille, translation and international delivery. Only the services listed in your agreed quote are included.

Frequently asked questions
Can I get a Polish certificate if I am not a Polish citizen
Yes. Foreign nationals can request information from KRK. Your citizenship may affect the checks and processing time, but Polish citizenship is not a condition for applying.
Do I need to return to Poland
No. A representative can handle the standard application in Poland. You must still provide the required information and valid authorisation, including paper originals where required.
Can you include an apostille and translation
Yes. We can include an apostille, translation and international delivery on request. The agreed quote identifies which services you have ordered.
How long is a Polish criminal record certificate valid
KRK rules do not set one universal validity period. The receiving organisation or applicable procedure determines how recent the document must be. Check this before ordering, especially if your submission date is several months away. See KRK validity guidance.
Will my Polish certificate cover every country where I have lived
Do not assume it will replace certificates requested from other countries. An EU information exchange can form part of some KRK applications, but the organisation handling your case decides which documents you must submit.
Can I order from a European country not listed above
Yes. Tell us your country and the requirements. We will confirm the available document services and delivery arrangements for your destination.
Request your Polish police clearance certificate
Send us your citizenship, current country of residence, the country and organisation requesting the certificate, and your deadline. If you have a document checklist, include it so we can prepare a quote for the appropriate package.
